Position Overview:

We are seeking a detail-oriented and highly organized Payroll Administrator to join our finance team. The Payroll Administrator is responsible for managing all aspects of payroll processing, including timely and accurate calculation, recording, and verification of employee compensation. The ideal candidate possesses a strong understanding of payroll procedures and regulations, has experience with payroll software systems, and is committed to maintaining the highest level of confidentiality and data accuracy.

This is a remote position, but the candidate must be available for onsite trainings and occasional travel to collaborate with the team in person as needed.

Job Responsibilities:

Payroll Processing:

  • Ensure timely and accurate processing of payroll for a designated group of employees.
  • Accurately calculate wages, overtime, bonuses, commissions, and deductions.
  • Maintain precise records of employee payroll data, including new hires, terminations, leaves, and changes in pay rates or deductions.
  • Review and verify timesheets, attendance records, and other relevant documentation for accuracy.
  • Prepare and distribute paychecks, direct deposits, and statements to employees.
  • Resolve any payroll discrepancies or issues in a prompt and efficient manner.

Compliance and Reporting:

  • Stay updated on federal, state, and local payroll tax regulations and ensure accurate compliance.
  • Prepare and submit relevant payroll tax reports, filings, and payments as required.
  • Respond to and resolve any payroll-related inquiries or audits by regulatory authorities.
  • Collaborate with HR to maintain accurate employee records, including W-4 forms, pay rate changes, and benefit deductions.
  • Generate payroll reports for management review and analysis.

Payroll Systems and Technology:

  • Utilize payroll software systems efficiently and accurately for all payroll processes.
  • Stay current on industry updates and best practices related to payroll software and technology.
  • Participate in system upgrades, implementation of new modules, and system enhancements.
  • Troubleshoot and resolve any issues or errors related to the payroll system promptly.

Team Collaboration:

  • Collaborate closely with HR, Finance, and other departments to enhance and streamline payroll processes and resolve issues.
  • Provide excellent customer service to employees regarding payroll inquiries, maintaining a high level of professionalism and confidentiality.
  • Support year-end payroll processes, such as W-2 generation and reporting.

Qualifications:

  • Bachelor's degree in Accounting, Finance, or a related field preferred.
  • 2+ years of experience as a Payroll Specialist or in a similar role.- Strong knowledge of payroll operations, regulations, and compliance requirements.
  • Proficient in utilizing payroll software systems; experience with Paychex, ADP, Workday, or similar platforms is preferred.
  • High level of accuracy and attention to detail with excellent analytical skills.
  • Strong organizational and time management skills to meet time-sensitive deadlines.
  • Exceptional verbal and written communication skills with an ability to explain complex payroll matters concisely.
  • Maintains a high degree of confidentiality and exercises discretion when dealing with sensitive employee information.
  • Working knowledge of payroll tax filings and reporting requirements.
  • Ability to work independently and as part of a team, demonstrating strong problem-solving skills.
