GEM US exists to connect the people of God in the US to the mission of God in Europe. We do this through sending workers, engaging the US church, raising funds, and supporting the work happening in the field. 

 

POSITION SUMMARY:  

 

The Executive Assistant serves as a supportive force to empower the GEM US President as well as the US Executive Team. High Emotional Intelligence, exceptional communication skills, time management, meticulous attention to detail, proactive problem solving and a bias toward talking responsibility are all desired in this role. This person needs to exhibit excellent judgement in prioritizing tasks and an ability to adjust plans quickly based on new information. Trustworthiness and confidentiality are vital characteristics.

Ultimately, they will contribute to the efficiency of GEM by providing personalized and timely support to the US President and their team. 

 

RESPONSIBILITIES: 

 

  • Work directly with the US President to support all aspects of their daily work routine. 
  • Maintain US President’s schedule- Plan and oversee meetings, conferences, and travel 
  • CRM management for the US President when engaging with key donors. 
  • Departmental meeting management- schedule departmental meetings, assist in the preparation and distribution of meeting agendas and materials, and record meeting notes. 
  • Organize the US Executive Team’s communications and plan events; both internal and off-site 
  • Support GEMUS Board meetings including event coordination, preparing and editing reports, and taking minutes. 
  • Prepare and submit expense reports for the US President. 
  • General administrative tasks as needed. 
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed. 

 

 

 

 

EDUCATION, EXPERIENCE, & SKILLS 

  • Proven organizational skills- experience with managing time and deadlines, tracking and maintaining data, able to visualize processes through from start to completion. 
  • Proficient and comfortable working within digital systems, and unafraid to learn new software as needed.
  • A self-starter that is resourceful and enjoys seeing projects through to completion.
  • Preferred 5 years of experience in an executive support role or related field. 
  • Exceptional writing, editing, and proofreading skills 
  • A strong sense of discretion and confidentiality

TRAVEL 

 

This position requires up to 25% travel. 

 

 

SUPERVISORY RESPONSIBILITY

 

This position has no supervisory responsibility. 

 

WORK ENVIRONMENT 

 

This is a hybrid role. This person must be based in Houston and able to come into an office 1-2 days a week.  

 

This role routinely uses standard office equipment such as laptop computers, smartphones, photocopiers, filing cabinets and scanners. 

 

PHYSICAL DEMANDS 

 

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

While performing the duties of this job, the employee is regularly required to talk or hear. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.  Specific vision abilities required by this job include close vision and ability to adjust focus.   

 

POSITION TYPE/EXPECTED HOURS OF WORK 

 

This is a full-time position requiring 40 hours of work over 5 days, with flexible scheduling.
