Position Summary: The Restoration Manager is a key figure in orchestrating the restoration of properties damaged by disasters such as fires, floods, and storms. This role demands a unique blend of technical expertise, project management skills, and exceptional customer service. You will be responsible for overseeing the entire restoration process, from initial damage assessment through to the completion of repairs, ensuring the highest standards of workmanship and customer satisfaction.
Essential Functions: Professionalism and Customer Service:
- Maintain the highest level of professionalism and customer service, particularly while resolving production, mechanical, and scheduling difficulties. Ensure exemplary customer service throughout all stages of the restoration process.
- Responsible for handling customer services issues to ensure customer satisfaction.
Effective Communication: - Ensure clear and consistent communication with insurance adjusters and auditors, promptly addressing and resolving queries or concerns.
- Use Restore365 for detailed daily job notes to facilitate transparent internal communication with both production and administrative teams.
- Provide continuous and proactive communication with active clients.
Inventory and Cost Management: - Meticulously oversee the tracking and management of contents and storage for all fire losses.
- Conduct thorough job cost analyses to ensure financial accuracy and efficiency.
- Ensure subcontractor costs adhere to project specifications and costs.
- Handle service damage claims with precision to maintain the highest standards of accountability and documentation.
Safety and Compliance: - Promote and adhere to the company's safety program, advocating the use of personal protective equipment (PPE) and best practices to ensure a safe working environment.
Technical Proficiency: - Demonstrate full competency in industry-specific software platforms such as Quickbooks Time/TSheets, Restore365, Microsoft Outlook, MICA mobility, Xactimate, Luxor, GoCanvas, including the ability to produce well-written, non-program estimates in Xactimate and manage sales contact lists in CRM systems.
Operational Excellence: - Ensure the timely and proper execution of restoration production work, maintaining compliance with both company standards and program requirements. This includes inspections, estimations, and the physical execution of restoration tasks.
Documentation and Quality Control: - Guarantee that all production staff complete necessary documentation for restoration jobs, including job forms, notes, MICA/drying records, estimates, and equipment tracking, to uphold the highest standards of quality and accountability.
On-Call Responsibilities: - Participate in an on-call rotation to ensure rapid response and resolution of emergency situations, demonstrating readiness and reliability.
Subcontractor Management: - Take charge of managing subcontractors for all supervised projects, ensuring the delivery of quality services and maintaining strong professional relationships.
Business Development and Relationship Building: - Actively develop and sustain key client relationships through direct sales efforts, networking, and participation in industry events.
- Manage contacts, activities, and expenses within CRM to evaluate the success and ROI of sales initiatives.
Comprehensive Project Management and Oversight: - Demonstrate robust project management skills by overseeing all phases of restoration projects from initial damage assessments to final completions. Ensure seamless and efficient execution by managing project scopes, timelines, budgets, and coordinating effectively with team members and external partners to achieve optimal outcomes.
- Provide all estimates and scope of work (as needed) to the customers within 24 hours.
Position Requirements: - Minimum of 3-5 years of experience in the disaster restoration industry with strong knowledge of restoration techniques, materials, and equipment.
- Required certifications (e.g., WRT, ASD, FSRT IICRC) with additional certifications like OCT, AMRT preferred.
- Proficiency in specific software platforms and strong skills in Microsoft Office Suite.
- Valid driver's license meeting company insurance specifications and ability to pass pre-employment background check, physical and drug testing.
- Exceptional interpersonal, communication, and customer service skills.
- Proven experience in disaster restoration or a related field with a strong focus on sales growth and customer acquisition.
Travel: This position does not require overnight travel. Although overnight travel opportunities may be offered for out-of-state work or learning opportunities.
Physical Demands and Working Conditions: The physical requirements of this position are two-fold. When completing administrative/office work this position may include sitting for prolonged periods of time, Repetitive motion (extensive use of keyboard/computer), talking, hearing and close visual acuity to perform essential job functions.
Job functions related to on-site job locations may require medium work (exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly) in combination with any of the following physical activities while demonstrating for or during the oversight of production staff: climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, grasping, talking and hearing. On site job function also include the need for visual acuity needed for driving and performing all tasks including the use of tools, in a safe manner. Job site work may subject the employee to both outside and inside environmental conditions including high and low temperatures, weather, hazards i.e. scaffolding, and close quarters.
