Overview:

The Public Performance Operations Lead takes charge in facilitating Public Performance operational support for several venues within the Juilliard School, one of the most prestigious performing arts schools in the world and home to some of the finest musicians, dancers, actors, and vocal artists. The Lead provides proactive leadership, accountability, tactical and logistical support as needed to all Public Performance Operations office activities, including Front of House, Stage Management and Box Office Management.

Reporting to the Associate Director of Public Performance Operations, the Public Performance Operations Lead is an all-encompassing head role, providing support and supervising areas in the Front of House and Box Office Operations. The Lead will assist in managing all overhires (temporary staff) Front of House & Box Office personnel, as well as a large staff of student work study ushers. The Lead is responsible for assisting in the implementation and enforcement of all front-of-house & box office operations policies and procedures for public performances and special events at Juilliard.

This role is full-time, 40 hours per week. Compensation is $30 per hour. The duration of this role is 42 weeks per year (approx. August 15 - June 6). This position is overtime eligible.

The Department of Public Performance Operations at Juilliard plays a vital role in coordinating and facilitating the numerous public performances that occur within the esteemed institution. This department serves as the logistical backbone, meticulously organizing schedules, venues, and technical requirements to ensure seamless and successful events. From student recitals to large-scale concerts, the department works closely with faculty, students, and external partners to bring artistic visions to fruition. Additionally, the department manages front-of-house operations, ticketing, and audience experiences, striving to create an atmosphere that enhances the enjoyment and appreciation of the performing arts. Role Responsibilities:
  • Serves as a Principal House Manager for Juilliard public performance venues. Must be available on a sliding schedule to work evenings and weekends.
    • Oversees the enforcement of all Front of House Policies and the implementation of all procedures, during all public performances and special events.
    • The Lead will analyze the department budget and track the budget
    • Coordinates with Facilities Management and Public Safety to create and maintain a safe, secure, and comfortable environment for all Juilliard Patrons.
    • Conveys to Facilities Management and Public Safety any concerns regarding any incidents or issues that arise before, during, or after any performance or event.
    • Communicates and coordinates with Box Office Staff and Stage Management before, during, and after the start of the performance per updated Operational Procedures and Established Workflow.
    • Maintains valid up to date Certification per Industry standards, including F-03 Fire Guard for Indoor Place of Assembly and CPR/ First Aid Certification.
  • Tracks all performances and ensures sufficient coverage for them through the use of Asana, ASIMUT, and the performance calendar.
  • Maintains the Usher Management application - a custom internal application to manage ushers.
  • Monitors and maintains the process of hiring student work study ushers and facilitates their ability to sign up for work.
  • Coordinates with over hire staff to help assess and fulfill staffing requirements for each performance or special event.
  • Records, organizes, and updates event specific information and organizes it in the appropriate documents to provide sufficient information and appropriate logistical support for Front-of-House & Box Office operations.
  • Manages cancellations and shift changes, when necessary, and all resulting communications among over hire and work study staff members.
  • Monitors and maintains the inventory of Operational documents, equipment, and office supplies.
  • Prepares all public performance venues by creating and furnishing all required materials, such as reserved and directional, instructional, informational or advisory signage specific to the needs of the performance or event.
  • Obtains Event Programs/ Inserts and monitors their timely production, as well as retains and files an appropriate number of them for Distribution and Archives.
  • Creates, maintains, updates, and replenishes the supply of operational documents, including Training Material, HM Checklists, Signs, Workflow and Emergency & Evacuation Procedures, and Time Cards.
  • Maintains, updates, and archives all front of house operational entries in the customized application, including Sign Ups, Sign Ins, HM Info Sheets, and House Manager Reports
  • Tests proper functioning of all FOH and BO Operational Equipment, including Ticket Scanners, Walkie-talkies, Headsets, and ALD.
  • Manages the agenda of meetings and proactively creates training sessions for over hire and work study employees.
  • Reviews and enters data from public performance operational reports, filing them into the appropriate Concert Office shared excel folders, and maintaining the Attendance Breakdown Sheet (for Budget Analysis).
  • Maintains an updated Contact List for both over hire and work study personnel.
  • Tracks Time Card Submission and completes payroll for over hires and work study student ushers
  • Maintains updated, fully stocked venue specific house management "Go Kits/Boxes" and ensures that all the appropriate Operational Documents are attached or available ahead of each Performance or Event.
  • Ensure that part-time staff has accurate knowledge of events
  • Applies critical thinking skills to handle customer service inquiries, follow up and solve problems
  • Provides box office support at events
  • Completes various office duties, including revision of Departmental phone message for event information, maintain bulletin boards, stock and update calendar of events, and interact with outside cultural organizations regarding free ticket offerings.

Qualifications:
  • Bachelor's Degree in Business Management, Guest Experience or related degree
  • Supervisor Experience

  • Experience with budget analysis and tracking

  • 2-5 years minimum experience working in a Public Performance setting
  • Customer Service Experience

  • Strong Interpersonal and organizational skills
  • Strong Communication Skills - verbal and written
  • Box office experience, including use of ticketing software systems
  • Be able to pull and analyze data from a ticketing platform software
  • Ability to interact with the public courteously and efficiently
  • Must be able to work flexible hours, which will include some nights and weekends, based on the performance calendar as the need arises
