**Job Summary:**

We are seeking a dedicated and experienced On-Site Managing Director to oversee the operations of our community association. This role requires a thorough understanding of the association’s governing documents and responsibilities related to unit-related issues. The ideal candidate will maintain an up-to-date knowledge of all physical assets of the property, ensuring high standards of maintenance and safety.

**Key Responsibilities:**

  • - **Documentation and Compliance**: Ensure a comprehensive understanding of the association’s governing documents related to the responsibilities of the On-Site Manager, particularly in addressing unit-related issues.
  • - **Physical Asset Management**: Continually assess and maintain awareness of the condition of all physical assets in the building and grounds, including both interior and exterior components, as well as mechanical and electrical systems.
  • - **Inspections**: Conduct inspections at least three times a week to identify current or potential issues. Schedule necessary work or provide recommendations for the Board of Directors.
  • - **Staff and Vendor Supervision**: Oversee onsite staff and vendor performance in maintenance functions. Coordinate with local utility companies and private contractors as required, managing scheduling and document submissions (invoices, unit inspection checklists, permits, and licenses).
  • - **Board Consultation**: Collaborate with the Board of Directors, offering independent assessments of capital improvement projects and prioritizing necessary work.
  • - **Inventory and Supply Management**: Ensure the availability of required supplies and materials, making purchases as needed. Develop and maintain an efficient inventory control system for all supplies.
  • - **Contractor Coordination**: Oversee contractor work in common areas, ensuring compliance with contract requirements and keeping the Board informed of progress and challenges.
  • - **Emergency Preparedness**: Ensure all contractors are familiar with emergency procedures and contacts within the community. Verify that they adhere to licensing and bonding requirements.
  • - **Resident Relations**: Facilitate effective communication between contractors and residents during large-scale projects, providing regular updates and issue resolution assistance.
  • - **Regulatory Compliance**: Comply with all applicable Federal, State, County, and City regulations affecting building management. Adhere to safety standards and practices, ensuring the proper use of personal protective equipment when appropriate.
  • - **Board Meetings**: Participate in monthly Board meetings and the annual Association meeting at the request of the Board of Directors.
  • - **Emergency Availability**: Be available during after-hours emergencies (e.g., leaks, fires, or property damage), responding in person or by phone to address issues as they arise.
  • - **Administrative Duties**: Manage various administrative tasks, including sending bill requests for in-unit maintenance, updating unit information on the website and Excel sheets, completing resale packages on the Homewise website, and checking the Vantaca portal and emails daily.
  • - **Calendar Management**: Review and adjust the maintenance engineer, porter maintenance, and contractors' schedules as needed, ensuring a well-coordinated maintenance plan for the community.
