Position Title: Full Time Office Manager

Organization: Boys and Girls Club of Hilton Head Island

Overview: The Boys and Girls Club of Hilton Head Island is seeking a dedicated and organized Office Manager to join our team. This pivotal role involves overseeing administrative operations, ensuring efficient day-to-day functioning, and supporting our mission to provide a safe, nurturing environment for children to thrive.

General work hours Monday – Friday 10am-6pm

Key Responsibilities:

• Utilize Kidstrack software to efficiently manage member records, attendance, and reporting, ensuring data integrity.
• Oversee the check-in and check-out process for children, ensuring compliance with safety protocols and accurate record-keeping.
• Maintain positive and professional relations with parents, addressing inquiries, concerns, and ensuring clear communication.
• Handle accounts receivable and accounts payable, ensuring accuracy and timely processing.
• Create and manage spreadsheets, documents, and reports using Microsoft Excel and Word.
• Perform clerical duties, such as filing, data entry, and maintaining organized office systems.
• Provide administrative support to staff, ensuring smooth daily operations.
• Monitor office supplies and coordinate reordering as needed.
• Assist with scheduling, event coordination, and club communications.
• Assist with employee onboarding and offboarding processes

Qualifications:

• Proficiency in database software or ability to learn quickly.
• Strong skills in Microsoft Excel and Word.
• Experience in accounts receivable and payable tasks.
• Exceptional organizational skills and attention to detail.
• Excellent communication and interpersonal abilities for interacting with parents, staff, and children.
• Ability to multitask and work in a dynamic environment.
• Prior experience in a similar role is a plus.
