Description:

The Ocean Export Manager is responsible for overseeing the complete process of exporting goods via ocean freight, ensuring the efficient, compliant, and timely delivery of cargo. This role involves managing a team of export coordinators, fostering relationships with shipping lines and freight forwarders, and coordinating necessary documentation and customs requirements. The ideal candidate will possess a strong understanding of international shipping regulations, excellent communication skills, and the ability to navigate complex logistics operations effectively.

PRIMARY TASKS & RESPONSIBILITIES:

Export Operations Management:

  • Oversee the entire ocean export process, from cargo booking to final delivery at the destination.
  • Ensure compliance with all export regulations, including documentation and customs requirements.
  • Supervise the preparation and verification of export documentation such as bills of lading, commercial invoices, packing lists, and certificates of origin.

Team Leadership:

  • Lead and manage a team of export coordinators and specialists, providing guidance, training, and performance evaluations.
  • Align team members with the company's export strategies and operational objectives.
  • Address and resolve issues arising in daily export operations, including delays, shipment discrepancies, and customer concerns.

Customer Service & Relationship Management:

  • Serve as the primary point of contact for key customers, addressing their needs and ensuring high service levels.
  • Build and maintain strong relationships with shipping lines, freight forwarders, and other logistics providers to negotiate favorable rates and secure capacity.
  • Provide regular updates to customers on shipment status and proactively communicate any issues affecting delivery timelines.

Cost and Rate Negotiations:

  • Negotiate rates with shipping lines and freight forwarders to optimize costs while maintaining service levels.
  • Monitor shipping market trends to ensure competitive pricing and identify opportunities for cost savings.

Regulatory Compliance:

  • Ensure all shipments comply with international trade regulations, including U.S. export controls, foreign trade agreements, and hazardous materials handling, if applicable.
  • Stay updated on changes in customs laws, shipping regulations, and trade agreements that may impact export operations.

Documentation & Customs Compliance:

  • Oversee the accurate and timely completion of all required export documentation.
  • Collaborate with customs brokers and relevant authorities to ensure compliance with international trade regulations and smooth customs clearance.

Problem Solving & Incident Management:

  • Address disruptions in the supply chain, such as port delays, container shortages, or vessel issues, to minimize shipment timeline impacts.
  • Coordinate with internal and external stakeholders to resolve discrepancies or issues related to shipments, invoicing, or delivery.

Reporting & Data Analysis:

  • Analyze key performance indicators (KPIs) such as on-time delivery, freight costs, and customer satisfaction.
  • Provide regular reports to senior management, highlighting performance metrics, areas for improvement, and opportunities for optimization.

Continuous Improvement:

  • Identify areas for improvement in the export process to enhance efficiency, reduce costs, and improve service levels.
  • Implement process improvements and best practices to streamline operations.
Requirements:
  • Bachelor’s degree or an equivalent combination of education and/or experience required.
  • 5+ years of experience in ocean freight export operations, with a minimum of 2 years in a supervisory or management role.
  • Strong knowledge of international shipping regulations, export documentation, and customs clearance processes.
  • Familiarity with trade agreements, export compliance regulations, and Incoterms.
  • Excellent communication and negotiation skills.
  • Experience with transportation management systems (TMS) and export management software.
  • Strong problem-solving skills and the ability to manage complex logistics operations.
  • Ability to thrive in a fast-paced environment and manage multiple priorities.

Experience Preferred:

  • Experience with hazardous materials (HAZMAT) shipments and associated regulations.
  • Proficiency in freight rate negotiation and contract management.
  • Knowledge of specific regional trade requirements (e.g., Asia-Pacific, Europe, Latin America)
