Summary/Objective:

 

The Materials Specialist is responsible for ensuring that all Material Bank leads are nurtured and new contacts receive a proper introduction to DDS. This role will coordinate with the Sales, Marketing, Materials, and Executive teams to capture, track, and capitalize on leads procured through the Material Bank platform. 

 

Responsibilities:

  • Arrive to work each day prepared to be productive, knowledgeable, engaging, and helpful.

  • Provide exceptional customer service always. Make it a priority to be courteous, friendly, helpful, and prompt to our clients, vendors, guests, and teammates.

  • Validation and importing of all Material Bank leads into Netsuite.

  • Weekly follow up on new projects and contacts to introduce the correct sales team and explain how DDS works and our value proposition. 

  • Monthly e-blasts coordinated with the marketing team.

  • Monitor DDS sample inventory in Material Bank library. Request replenishment of sku's prior to running out. Facilitate this process up to and not excluding printing, labeling, packing and palletizing of library replenishments.

  • Direct, optimize, and coordinate the transfer of validated priority leads and contacts to sales teams and executive team for strategic planning.

  • Research future possibility of process automation with established integration tool, Celigo, for lead importation. 

  • Ensure duplicate projects and customers are not created, and where they exist, merge and consolidate as appropriate Customers, Contacts, and Projects. 

  • Provide monthly reporting on leads, sales, and cultivation efforts.

  • Keep a safe, clean, and welcoming workspace.

  • Work safe always. Follow required safety training and prevention guidelines and incident reporting.

  • All other duties as assigned.

 

Position requirements: 

  • Strong analytical skills and being detail oriented is required. 

  • Ability to work on strict deadlines.

  • Communication proficiency

  • Computer skills to include MS Office and POS systems. Netsuite knowledge is preferred.

  • Ability to change and adapt to a fast-moving business environment, technological changes, and product advancements require an open mind and flexibility to be successful.

  • Must be able to work evenings and weekends as needed or required.

 

Supervisory Responsibility

This position does not directly supervise any employees.

 

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The office environment is open and fast paced with a resident feline and frequent canine visitors. At times may visit other work environments such as warehouses and should abide by all safety standards set forth by each location.

The employee must frequently lift and/or move up to 30 pounds and occasionally lift and/or move up to 50 pounds with aid. Specific vision abilities required by this job include hearing, close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Travel is not expected for this position.

 

Required Education and Experience

  1. Bachelor degree from accredited institution or equivalent education through work experience

  2. Minimum of 4 years’ previous experience in similar role

  3. Organization skills, detail oriented,, time management skills, able to meet deadlines

  4. Strong independent problem-solving skills

  5. Good customer services and interpersonal skills

  6. Ability to handle a high volume of transactions

  7. PC proficiency and MS Office experience, Outlook, Word, Excel 

  8. Ability to change and adapt to a fast-moving business environment, technology changes, and product advancements and requires an open mind and flexibility to be successful.

  9. Must be able to work weekends, evenings, as needed or required
