The Shipping Coordinator is responsible for the timely management and oversight of Fine Art shipments and projects. This detail-oriented role requires strong communication, time management and prioritization skills, as well as on-site participation support and outreach.
ESSENTIAL JOB FUNCTIONS - Timely completion of client and agent requests, estimates, projects, and shipments.
- Top level customer service including timely and professional communications with clients and agents.
- Set up and independently manage export/import files including logging, file setup, documentation, communications, rating and billing with ability to meet deadlines from start to completion.
- Interface with clients, vendors, and government agencies as applicable including but not limited to Customs, BIS, TSA, USDA, FDA, USFWS and DOT.
- Maintain files in organized fashion including copies of all documentation, communications, and other related items.
- Assist department manager with operations issues including customer satisfaction, profitability, maintenance of quality vendor relationships and interface with other Masterpiece offices.
- Anticipate needs of clients and seek out information to meet their demands.
- Develop and maintain working knowledge of systems including, Outlook, Word, Excel, Teams, artWISE, and Cargowise as applicable.
- Participate in conferences and meetings as applicable.
- On-site participation at Fine Art events domestically and Internationally may be required depending on department.
- Compliance with Masterpiece policies and procedures.
- Other duties as assigned.
QUALIFICATIONS AND EDUCATIONAL REQUIR EMENTS - Undergraduate degree preferred.
- 1-2 years minimum industry experience.
- Customs Brokerage and/or Freight Forwarding experience preferred.
- May need a valid passport depending on department
PHYSICAL REQUIREMENTS - The position is primarily an indoor, office environment, but may require on-site work at airports, vendor and/or client locations. The position requires the ability to communicate with internal and external customers or vendors verbally and in writing, sit for periods of time, and operate typical office equipment keyboard.
