Position Summary

The Biologic Coordinator supports the gastroenterology practice by managing all aspects of patient access to biologic and specialty medications. This position ensures timely initiation and continuation of therapies such as Remicade, Inflectra, Humira, Stelara, Entyvio, Omvoh, Tremfya, Skyrizi, Rinvoq, and others. Position communicates with the prior authorizations departments and provides patient education on pharmaceutical programs that specialize in personalized 1 on 1 support to help them access, start, and stay on track with their prescribed treatment plan. Plays an active role in specialty pharmacy communication and serves as referral point and expert in submitting applications for patients to receive drugs and copay assistance from pharmaceutical assistance programs. The coordinator acts as the liaison between patients, providers, payers, and infusion services to optimize care and improve treatment outcomes.

Essential Duties and Responsibilities :

  • Track start dates, re-authorization timelines, and renewal requirements to ensure uninterrupted therapy.
  • Communicate with Ohio Gastroenterology Prior authorization departments, Infusion team , specialty pharmacies, and Pharmaceutical Representative to resolve barriers and expedite timeline between insurance authorization and initiation of biologic therapy.
  • Coordinate applications and directly enroll patients for financial assistance meeting drug-specific requirements for participation, including but not limited to forms, patient proof of income, relative clinical information, and provider signatures.
  • Displays effective file management by maintaining documentation and detailed records of program participation, and medication dispensations provided to patients via Portal assistance programs.
  • Collaborate with providers, nursing staff, and the billing team to ensure appropriate documentation, diagnostic codes, and treatment plans are submitted.
  • Educate patients on the biologic process including:
  • Medication purpose and administration route (infusion, injection, oral).
  • Expected timelines for approval and delivery.
  • Financial assistance and patient support program options.
  • Assists patients in applying for pharmaceutical copay assistance and bridge programs if applicable.
  • Coordinate with in-office infusion center or external infusion centers to schedule start of therapy.
  • Maintain detailed and accurate records of patient interactions and follow-up in the electronic health record (EHR).
  • Ensure all necessary labs have been obtained and resulted in patient’s EHR
  • Request and track medications for patients on bridge programs
  • Monitor and report on biologic utilization, turnaround times, and payer trends for quality improvement and compliance.
  • Stay current on biologic therapy developments in gastroenterology and any changes to Patient Portal assistance programs.
  • Serve as the point of contact for patients and staff regarding biologic medication questions or issues.

Qualifications :

Education:

  • High school diploma or equivalent required.
  • Associate or bachelor’s degree in healthcare administration, nursing, or related field preferred.

Experience:

  • Minimum 2 years of experience in gastroenterology, specialty pharmacy, or infusion coordination setting.
  • Working knowledge of gastrointestinal biologics and insurance authorization processes strongly preferred.
  • Familiarity with EMR/EHR systems and payer portals required.

  • Strong interpersonal and communication skills with patients and healthcare professionals.
  • High attention to detail and excellent organizational abilities.
  • Proficiency in navigating specialty pharmacy workflows and patient assistance programs .
  • Ability to multitask, meet deadlines, and maintain confidentiality.

Working Conditions :

  • Office-based environment, primarily administrative and telephonic work.
  • Frequent coordination with providers, infusion nurses, pharmacies, and pharmaceutical representatives.
  • Standard weekday schedule with occasional flexibility for urgent patients or provider/departmental needs.

Performance Expectations :

  • Timeliness: Prompt patient enrollment into pharmaceutical assistance and nurse navigator programs once Provider refers patient for Biologic treatment
  • Accuracy: Proper documentation in the EHR and pharmaceutical assistance programs
  • Patient Experience: Positive patient feedback regarding communication and support.
  • Continuity of Care: Minimized therapy delays and improved treatment adherence.
