Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional multitasking abilities, strong communication skills, and a keen attention to detail. This role requires a professional who can manage various tasks efficiently while maintaining a high level of confidentiality and professionalism.

Duties

  • Provide executive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Assist in event planning and execution for corporate functions, meetings, and conferences.
  • Handle bookkeeping tasks using QuickBooks and maintain accurate financial records.
  • Coordinate projects by tracking progress, deadlines, and deliverables to ensure timely completion.
  • Manage office operations including filing, data entry, and clerical duties to maintain an organized workspace.
  • Serve as the first point of contact for visitors and clients at the front desk, demonstrating excellent customer service skills.
  • Utilize Microsoft Office Suite and Google Workspace for document creation, proofreading, transcription, and correspondence management.
  • Maintain effective phone etiquette while managing multi-line phone systems and responding to inquiries promptly.
  • Organize documents using DocuSign for electronic signatures and ensure compliance with company policies.

Skills

  • Proven experience in administrative roles with a focus on executive support.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace tools.
  • Excellent typing skills with high accuracy in data entry tasks.
  • Familiarity with project coordination principles and office management practices.
  • Experience in bookkeeping and financial recordkeeping using QuickBooks is preferred.
  • Strong proofreading abilities with attention to detail in written communications.
  • Ability to manage calendars using Microsoft Outlook Calendar efficiently.
  • Experience with transcription services is a plus.
